Run a church event with tickets and QR check-in

From a youth conference to a Christmas carol night, here is how to take registrations, sell tickets and check people in at the door with nothing but a phone.

A well-run event feels effortless to the guest. Behind the scenes it takes forms, payments, reminders and a queue that moves. Here is the whole path.

Give the event a proper page

Every event gets a page on your website with a map, a calendar download and share links. People can add it to their phone calendar in one tap and send it to a friend on WhatsApp.

Free and paid tickets

Offer several ticket types with limits, such as adult, student or family, and early-bird prices for those who book first. Paid tickets go through your own payment gateway, so the money goes straight to your church.

Recurring events

Weekly services and monthly prayer meetings only need to be set up once.

Reduce no-shows

Automatic email and SMS reminders go out before the event. A short reminder the day before is often all it takes to turn a "maybe" into a "yes".

Check-in at the door

Scan tickets with any phone. If someone forgets theirs, search by name. Guests can also keep their ticket and QR code in Apple Wallet or Google Wallet, ready to scan.

After the event

Look at registrations, check-ins and first-timers for each event. First-time visitors can go straight into your follow-up pathway so they are welcomed again, not just once.

A checklist

  1. Create the event with date, place and description.
  2. Add ticket types and a registration limit.
  3. Share the link and a QR code on screen and in the bulletin.
  4. Brief two check-in volunteers with a phone each.
  5. Follow up with everyone who came for the first time.

Good events are remembered for the welcome as much as for the programme.
